Description
North Ayrshire Council are seeking a supplier to provide an integrated audio-visual solution within the Council Chambers of Cunninghame House, Irvine to allow hybrid meetings to take place with the option of live streaming of the proceedings to the internet.
Total Quantity or Scope
North Ayrshire Council require an integrated solution to allow the Council Chambers to host wholly physical meetings (where microphones and display screens/arrays may be used) and hybrid meetings (where some participants may be in the Chambers and others participating remotely using the Microsoft Teams remote platform, with both physical and remote attendees able to see and hear each other). The proceedings of wholly physical and hybrid meetings must be capable of being live-streamed to the internet, as required, and a recording retained thereafter. The contract is to include: -Installation of AV solution and equipment required to deliver the above -An assessment of existing Council-owned equipment (microphones, cameras, display screens and speaker sound bars) to establish what is capable of being re-used and upgrade of existing equipment as may be required -Decommissioning of any equipment not capable of being re-used -Maintenance of system and ongoing support -Provision of staff training in use of the system The contract will be for a period of 5 years with the option to extend for up to a further 24 months. The contract will be let under North Ayrshire Council's Terms & Conditions for the Purchase of Goods and any related services (NACTC4).

The bidder must hold a UKAS (or equivalent) accredited independent third-party certificate of compliance in accordance with BS EN ISO 14001 (or equivalent) or a valid EMAS (or equivalent) certificate or the bidder must have a regularly reviewed documented policy regarding environmental management, see attachment at SPD question 4D.2.
